Why e-invoices get rejected — and how to fix them

After integration, your invoices are checked by the FATOORA platform. Standard (B2B) invoices must be cleared before you share them; simplified invoices are reported shortly after issue. Errors cost time and can block sales.

Common causes

  • Buyer data missing or wrong on standard invoices, especially the VAT number.
  • Calculation mismatches: line totals, rounding or VAT amounts that don't add up.
  • Wrong invoice type — a simplified invoice issued to a business customer, or the reverse.
  • Sequence and hash problems: a broken invoice counter or chain after a system change.
  • Expired or misconfigured device certificates.
  • Credit notes without a valid reference to the original invoice.

How to reduce rejections

  1. 1Make buyer VAT numbers mandatory fields for business customers.
  2. 2Test rounding rules on real invoices before go-live.
  3. 3Monitor the rejection and warning report daily in the first weeks.
  4. 4Keep your system provider on a support agreement for certificate renewals.

Tip

Warnings don't block an invoice today, but fix them anyway — they point to issues that can become errors.
